Job Description

Overview
We are seeking a motivated and detail-oriented Property Management Assistant to join our dynamic team. This role is essential in supporting the daily operations of property management, ensuring that both tenants and property owners receive exceptional service. The ideal candidate will possess strong organizational skills, a customer-focused mindset, and familiarity with property management software.

Duties

  • Assist in managing tenant communications, addressing inquiries and concerns promptly and professionally.
  • Maintain accurate records of tenant information, lease agreements, and maintenance requests using property management software such as Yardi or OneSite.
  • Coordinate property maintenance requests through a Computerized Maintenance Management System (CMMS) and follow up to ensure timely resolution.
  • Support the leasing process by preparing contracts, conducting background checks, and ensuring compliance with Section 8 regulations when applicable.
  • Provide administrative support by organizing office documents, scheduling appointments, and maintaining office supplies.
  • Collaborate with the property management team to ensure compliance with legal regulations and company policies.
  • Foster positive relationships with tenants through excellent customer service and effective phone etiquette.

Job Requirements

Experience

  • Previous experience in property management or a related field is preferred but not required.
  • Familiarity with property management software (Yardi, OneSite) is a plus.
  • Strong customer service skills with the ability to communicate effectively both verbally and in writing.
  • Knowledge of legal administrative tasks related to leasing agreements and contracts is advantageous.
  • A proactive attitude towards problem-solving and the ability to work independently as well as part of a team.
