Job Description

Pascoe Workforce Solutions is looking for a Office Manager/Front Desk Admin. This is a full time internal position.  The Office Manager/Front Desk Admin will be the face of the company, and part of an energetic group of recruiters at a local firm with a strong family feel. The ideal candidate will be adept at prioritizing and highly productive when working under little supervision. They will be motivated, trustworthy, and driven to provide stellar customer service.

Job Requirements

  • Answer phones and greet visitors
  • Ensure employment applications and onboarding paperwork is completed correctly
  • Scan and file all applications and onboarding paperwork and enter into HRIS
  • Daily maintenance of HRIS systems
  • Update applicant tracking and payroll systems as needed
  • Complete I-9 paperwork
  • Process background checks, E-Verify, and update payroll info
  • Responding to correspondence (Employment verifications, Child Support, Unemployment paperwork etc)
  • Assist with tracking and collection of timecards
  • Maintain and organize all employment files, HR records and office files
  • Maintaining the office calendar in Outlook
  • Maintaining office presentation
  • Assist with office supply inventory and ordering
  • Performing general administrative duties

Experience and Skills:

  • Must have previous experience operating multi-line phone systems
  • Previous experience supporting HR functions, preferably handing new hire paperwork strongly preferred
  • Strong computer skills, including knowledge of Microsoft Office Adobe and ability to learn to new computer programs
  • Friendly and professional presentation
  • Strong written and verbal communication skills including excellent phone etiquette
  • Ability to develop strong working relationships with clients, candidates and colleagues
  • Ability to manage multiple priorities
  • Meticulous attention to detail and strong organizational skills
  • Ability to learn quickly and adapt to changes within the organization
  • Ability to analyze, develop, establish, and maintain efficient office workflow and administrative processes
